Anytime you want to email or text a lead, be that part of a planned sequence or just a one-off communication, LeadSigma lets you use templates. Templates are pre-written messages that can automatically populate both the LeadSigma user’s and the recipient’s first and last names, as well as your organization’s name and phone number.
Let’s try one out. Whether you intend to create a template from scratch or edit a pre-existing one, the process is pretty simple:
1. Log into the app and navigate to Templates on the left sidebar:
2. On the Templates page, choose a template you’d like to edit. Click Edit.
3. Here’s what a template looks like. To change the name of the template or the subject of the email that displays to a recipient, click on the Name or Subject fields.
4. The text or email content is straightforward - what you write is what the recipient will see - but with one catch. By pressing any of the buttons at the bottom, you create an automatically populating piece of text that shows whatever the button says it will. In this example, the current template version only has the word “Hello.” The user would probably like the lead’s name to appear next, so he’d click the “First Name” button, like so:
5. Now we can see the email says “Hello {{first name}},” meaning that whomever we send this to, that person’s name will populate right after “Hello.” If the lead’s first name is John, the email will read, “Hello John.”
6. This works the same way for all the buttons. When you’re done editing the template, press the Save Template button:
7. If you want to make sure that everything’s hunky-dory, you can preview your template in any sequence that uses it. Navigate to Sequences in the left sidebar and then pick a sequence in which that template appears. In this example, we’ll hop over to this organization’s Warm Leads sequence. This email template is titled “‘Think About it’ Follow-up #1.” We can see that it’s used for Day 0 tasks:
8. When we hover our mouse over the template’s name, a preview of the message you’ll send will appear:
9. Assuming the message you see matches what you wrote in the template, you’re good. If it doesn’t, you can go back to the template and make sure you saved your work, but you can also take a shortcut, click that pen icon right next to the template’s name, and edit the template from within Sequences. In this case, the message matches, so our work is done.
10. Finally, if you want to create a template from scratch, our process is nearly identical to that for editing one. Navigate back to Templates. At the bottom of the text and email template boxes, you can click either “Add Email Template” or “Add Text Message Template.” Write out the message you want to template, be sure to take advantage of the auto-populate features, and save when done.
11. As soon as you’ve created or updated a template, you can use it in Sequences by selecting it from the dropdown menu next to any action within a tasks block:
